Introduction

Synaxis Systems Limited ("Synaxis", "we", "us") is an integrated ICT solutions company registered and operating in Zambia. This policy explains what information we collect, why we collect it, how we protect it and what rights you have in relation to it.

It applies to information submitted through this website, sent to us by email or telephone, and gathered in the course of delivering services to client organisations.

Information we collect

We collect only information that is necessary to respond to enquiries and deliver contracted services.

  • Contact details you provide: name, organisation, email address and telephone number.
  • Enquiry content: the requirement, budget indication and timeline you choose to share.
  • Technical information about client environments gathered during audits, installations and support.
  • Basic website usage data such as pages visited and referring source, used only in aggregate.

How we use information

  • Responding to enquiries and preparing quotations.
  • Delivering, configuring and supporting the systems we supply.
  • Managing licence renewals and maintenance schedules on your behalf.

Client system information

Delivering IT audits, cybersecurity work and managed support requires access to client systems and, at times, to information held in them. Access is limited to what the engagement requires, granted for the period it is needed, and revoked on completion.

Findings from audits and assessments are treated as confidential to the client organisation and are not disclosed to third parties without written instruction.

Legal basis and consent

We process information where you have asked us to respond to an enquiry, where processing is necessary to perform a contract with your organisation, where we have a legitimate business interest that does not override your rights, or where we are required to do so by law.

Disclosure to third parties

We do not sell, rent or trade personal information. Information is shared only where necessary and under confidentiality terms.

As a security-focused provider, we apply the controls we recommend to clients. Information is held on protected systems with access limited by role, transmitted over encrypted channels where technically possible, and backed up with verified routines.

No system can be guaranteed absolutely secure. Where a breach affecting your information occurs, we will notify affected parties and act to contain and remediate it.

Retention

Enquiry records are retained while there is an active or reasonably anticipated commercial relationship. Project, audit and contractual records are retained for the period required by contract and applicable Zambian statutory obligations, then securely destroyed.

Your rights

  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete information we no longer have a lawful basis to keep.
